AGM for Pinotage Villas HOA – 2024

AGM for 2024 will be on the 30 July 2024.

You are hereby invited to the Annual general meeting for Pinotage Villas, to be held on the date and place as indicated hereunder:

Time: 18H30
Place: Klapmuts Primary School

Registration for members commences at 18:00.
DIRECTIONS TO THE VENUE:

From N1 to Paarl take exit 47 for R44 towards Stellenbosch/R101/Klapmuts.Turn right onto R44.Turn right onto Stellengate Blvd.At the roundabout,continue straight to stay on Stellengate Blvd.At the roundabout take the 3rd exit onto Pickering.At the roundabout, take the the 1st exit onto Mechant St.Turn left onto Skool St.Destination will be on the left.

Should you be unable to attend the meeting in person, you are requested to complete and sign the attached proxy form to deposited at our offices at least 48 hours in advance of the meeting, excluding weekends and holidays.

PROXY SUBMISSION:

  • A Member may be represented at a General Meeting by a proxy, who need not be a Member.
  • The instrument appointing a proxy shall be in writing, duly signed by the Member concerned (or his appointed agent, duly authorized in writing) and shall be substantially in the form as set out.
  • In accordance with the provisions, a copy of the instrument appointing a proxy must be delivered to the General Manager at any time before commencement of the proceedings or meeting at which the proxy exercises any rights of the Member. Notwithstanding this provision, the Directors may call upon a Member to lodge the original instrument appointing a proxy to the Company within 7 (seven) days from the meeting or proceedings.
  • (4) Unless specifically specified in the proxy itself, no instrument appointing a proxy shall be valid for any meetings of the Company, other than the meeting for which a proxy was first appointed or in respect of any adjournment of that meeting.
  • Members are advised that proxies are to be submitted in the prescribed format in the proxy box at the HOA reception. The proxy the box will be available from the day the notice is given.
  • For ease of administrative processes, it would be appreciated if proxies could be received by 1 December 2022.

VOTES OF MEMBERS:

Please note, in accordance with constitution Home Owners Association; save as expressly provided for in these presents , no person other than a Member, duly registered and who shall have paid every levy or other sum due and payable to the Company in respect of or arising out of his membership, and who is not under suspension, shall be entitled to be present or to speak or to vote on any question , either personally or by proxy , at any General Meeting.
